Sensitive or special category data
Some Futurythm experiences may invite you to reflect on health or wellbeing. Health information is special category personal data under data protection law.
Where we process this kind of information, we will only do so where we have an appropriate legal basis and, where required, your explicit consent. You can choose how much information you wish to provide unless particular information is necessary for the service.
Children
Futurythm services are intended for adults aged 18 and over unless we explicitly agree a different arrangement with an organisation and put appropriate safeguards in place.
How we collect your information
Directly from you
You may give us information when you complete the Pulse or another assessment, book coaching, register for an event, join a programme, contact us, provide feedback, apply for a role or otherwise interact with Futurythm.
From third parties or public sources
We may receive professional contact information through organisations we work with, event partners, professional networks such as LinkedIn or other sources where it is lawful and appropriate to do so.
From our website
Our website may collect technical and usage information through cookies and similar technologies. You can manage non-essential cookies through our cookie settings. See our Cookie Notice for more detail.
Why we use personal data
We use personal data to provide and improve Futurythm services, manage relationships, communicate with you, run events and programmes, take payments, conduct research, recruit people, keep our systems secure and meet legal obligations.
Our legal bases
Depending on the activity, we may rely on:
- Contract: where processing is necessary to provide a service you have booked or agreed to receive.
- Legitimate interests: where we have a reasonable business need and your rights do not override that interest.
- Consent: for activities such as certain marketing, non-essential cookies and, where required, special category data.
- Legal obligation: where we need to process information to comply with the law.
Futurythm Pulse, assessments and research
The Futurythm Pulse and related assessments are designed to help individuals reflect on where they are now and what may matter next. We may also use anonymised or aggregated information to understand broader patterns, improve our services and develop research or organisational insights.
Where information is used for organisational reporting, we will aim to use aggregated or anonymised outputs unless a different arrangement has been clearly explained and is lawful.
Use of artificial intelligence
We may use AI-enabled tools to support parts of our work, such as analysis, administration or content development. Where personal data is involved, we will use these tools in line with applicable data protection law, our contractual obligations and appropriate safeguards.
We do not treat the use of AI as a reason to lower our privacy standards. Where automated processing could have a significant effect on you, additional legal requirements may apply.
Who we share information with
We may share personal data with trusted service providers and professional advisers where this is needed to run Futurythm. These may include coaches, event partners, technology and hosting providers, payment providers, professional advisers and other suppliers.
We may also share information where we are legally required to do so, for example with regulators, law enforcement or tax authorities.
We only share the information that is necessary for the relevant purpose and expect service providers handling personal data for us to protect it appropriately.
International transfers
Some of our service providers may process personal data outside the European Economic Area. Where this happens, we will use an approved legal mechanism or other appropriate safeguard required by data protection law.
How long we keep your information
We keep personal data only for as long as we reasonably need it for the purpose for which it was collected, to meet legal or regulatory requirements, or to establish or defend legal claims.
How we protect personal data
We use appropriate technical and organisational measures to protect personal data from accidental loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people who need the information for a legitimate purpose and who are subject to appropriate confidentiality obligations.
Your rights
Depending on the circumstances, you may have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete personal data in certain circumstances.
- Ask us to restrict how we use your personal data.
- Object to certain types of processing, including direct marketing.
- Ask us to provide certain personal data in a portable, machine-readable format.
- Withdraw consent at any time where we rely on consent.
Withdrawing consent does not affect the lawfulness of processing that took place before consent was withdrawn.
Marketing
Where required, we will only send marketing communications with your consent. You can unsubscribe at any time using the link in the communication or by contacting us.
Complaints
If you have concerns about how we use your personal data, we would like the opportunity to address them. You can also make a complaint to the Irish Data Protection Commission at www.dataprotection.ie.
